How is the software accessed?
Dakota offers our ProActivity Suite as a Software as a Service (SaaS) solution available to users via modern internet browsers on both desktop and mobile devices. No additional hardware, communications devices, or storage is required. Because SaaS solutions are easily scalable, the applications may be accessed by as many users as you choose.
Does everyone require a unique account or can we share?
ProActivity uses time-stamped Event Logs to document all user actions (meaning any time a record is created, updated, or deleted). This feature is essential for demonstrating compliance and supporting accurate reporting. As such, each individual user must use unique credentials to login to the software. With Dakota's unlimited user model, there should be no reason for users to share their credentials though.
Does that mean another password for my teams to remember?
Not necessarily. First, the reporting of incidents, near misses, and observations can be done without logging into the software. Second, for those who need to login, Single Sign-on (SSO) allows users to authenticate using other applications such as Microsoft 365, Google Workspace, or your own company intranet. SSO costs varies dependent on ID provider and other factors.
Can I add users and locations as I go?
Definitely. Dakota's solutions are 100% scalable so you can start with a single user at a single location and go from there. Dakota's implementation team is experienced at getting clients up and running fast. We will work with you to help determine a roll out strategy that is best suited for your organization and circumstances.
Speaking of implementation, how long does it usually take?
The implementation process, which consists of a Planning, Configuration, and Deployment phase, is propelled to completion using a series of action items and milestones that ensure clients are involved and in control every step of the way. Timelines vary based on implementation scope and goals but clients are typically up-and-running within 30-60 days of kick off.
What about implementation costs?
Again, it depends the number of locations and users but there are many other considerations; Do you already have compliance calendars developed for all your locations? Are we importing your historical EHS data or are you starting from scratch? Do you need custom training developed or are the onboard resources sufficient? Considering these and other factors, implementation costs are typically about 50% of the annual software cost.
Is there additional cost to customize the software?
First we must distinguish configuration from customization. Configuration refers to the ability for users to change the product with "out of the box" tools. ProActivity allows clients to configure, at no cost, the organization and site properties, user permissions and profiles, data views and form dropdowns, data dashboards and the home screen, email notifications and alerts, and their company logo on the login and home screen. Customization, which is the changing of product code, is done in coordination with our technical services teams. Customization services are billed hourly and always with system design and quality top-of-mind.
What type of support is available?
Throughout the period of your contract all of your users will be entitled to unlimited technical support by telephone, email, and in-product chat during our normal business hours. Our support teams utilize a ticket management system to ensure timely resolution of issues and consistent communications with users. Additionally, in-product Guides and contextual Help menus are always available to support your users.
Do you have EHS consultants that can assist with our programs?
Funny you should ask. Yes, Dakota offers in-house Professional Services to help our clients design and deploy first-class, proactive EHS programs. Our in-house EHS experts can assist with projects ranging from on-site and remote audits to determining the applicability of local requirements and permits. We also offer Managed Services for Compliance Calendar, Incident & Safety, and System Administration management.
What about Data and Security costs?
Data storage limits are outlined in contracts based on estimated usage. It is rare that clients meet or exceed these limits. Dakota assumes responsibility for maintaining and updating the software and providing back-ups, customer support, firewall protection and other technical services. Dakota uses Microsoft Azure Data Centers as our colocation partner.
How does licensing and billing work?
Dakota Software's contracts are billed annually with a standard contract length of three years. While clients can get value from the system quickly, we’ve found that those who commit to 3-year contracts are more successful in the long run. And since the long-term success of your EHS program is our goal, we want to encourage the practices that support that goal.
Can I test drive the software before purchasing?
Yes. Trials are offered at the sole discretion of Dakota Software contingent on a needs assessment meeting. Trials are offered in a 'Sandbox' environment with preloaded data sets intended to provide you with a working knowledge of the software features. Trial participants are bound by our Terms of Use.
