Effective EHS Management requires that EHS leaders have full visibility into issues and action items across their organization. Dakota Software introduced a new workspace designed to simplify navigation and speed access to these important items using Views, which are groups of Items that share common characteristics, such as Status or Date Due.
Default System Views, such as ‘My Open Action Items’ and ‘Recently Created Items,’ were made available to everyone, but users could also create, save, and share their own Views using filters to group common items by type, date created, etc.
Starting with the 12.18 release, Dakota is pleased to introduce two new filtering capabilities that will make it easier than ever for Scout and Tracer users to find and share items of interest.
Quickly find items - Using a Filter by Text box directly above the table, users can quickly search for items in the currently selected View using simple text. Just start typing to quickly filter to items that contain matching words and phrases.
How is this different from “Search”? Filter by Text does not search for all items that contain the text, it filters to show matching items within the current filter criteria. This means if you have the ‘Open Action Items’ View selected but the text you are looking for is in an item with a Status of ‘Closed,’ the item wouldn’t appear in the Filter by Text results. Additionally, the Text Filter interacts with the Filter Tree so text criteria can be saved and shared as part of a View.
Pro Tip: If you’re not finding what you are looking for using Filter by Text, try changing the View to something more inclusive, like All Action Items.
Tracer and Scout’s Filter Trees makes it easy to filter items by checking and unchecking field values, but when the fields have many values to choose from, it can require a lot of clicks. The new “Only” filter, visible when hovering over eligible field values, reduces clicks and helps to improve the overall filtering experience.
Click ‘Only’ on the value you want and all other values will be deselected. This is especially useful on the Organization Tree when you wish to view only Items related to one facility or one part of the organization. Additionally, all unselected values will automatically be hidden, providing a more seamless filtering experience (you can reveal them again by clicking [Show All]).
When choosing a Field value on the Filter Tree, the results are the same as drilling into a ‘pie slice’ or ‘single bar’ on a Dashboard Pod. All of the filter criteria will update with results that match only the selected field Value (ex: Status = New).
Pro Tip: Use Views and the Filter Tree to refine results in combination with Text Filters for faster results!
Nothing! These new filter options will be available to all users starting with the 12.18 release occurring in the first week of July, 2024. Your saved Views will not be affected in any way. You can, of course, update them with Filter by Text criteria if it helps to share more specific information with your teams.
A note on Filter by Text searchable fields: Some data, such as text from your organization’s custom fields, may not appear in the Filter by Text results.
